Most moves in Bangalore don’t go wrong because of the packing or the truck.
They go wrong at the gate.
The vehicle turns up on time, security won’t let it in, and half a day is gone. Apartment society shifting rules in Bangalore aren’t complicated — they’re just never explained until the day they cost you.
Here’s what to sort out, and when.
What Bangalore Societies Ask For
1. The no-dues letter
From your landlord if you’re renting, or the association confirming maintenance is clear. Most societies won’t issue a gate pass without it, and it’s the slowest item on the list. Start it two weeks out. An unpaid maintenance bill is the most common reason a move-out gets blocked.
2. The gate pass
This is what actually lets the vehicle in. Security will want:
- Your date and allotted time slot
- Flat number and block
- Vehicle registration number
- Crew names and contact numbers
The vehicle number catches people out — it’s often confirmed only a day or two ahead. Ask your movers for it the moment you book.
3. The service lift slot
Usually 4 to 6 hours on a weekday, booked in advance, and month-end slots go first. Get the confirmation in writing. A verbal “that’s fine” from the estate office is worth nothing when another flat has booked the same window. Ask whether it can be extended if the move runs long — the answer decides whether you pay an overtime penalty.
This matters most in the newer tower developments around Whitefield and Hebbal, where one service lift serves several hundred flats.
4. Check if there’s an approved mover list
Some Bangalore societies only admit movers from a pre-screened list. If yours does and your company isn’t on it, you’ll find out at the gate — which is far too late. Ask the estate office early. Getting a company added usually just means submitting registration and ID documents, but it takes about a week.
5. Crew ID proof
Government ID copies for everyone entering. Any professional company has these ready. One that can’t produce them is a company you want to know about before moving day, not during.
Move-In and Move-Out Charges
These go to the association, not your movers. Easy to miss when budgeting.
| Charge | Typical Range |
|---|---|
| Application fee | ₹200 – ₹1,000 |
| Refundable security deposit | ₹2,000 – ₹20,000 |
| Move-in / move-out charge | ₹1,000 – ₹3,000 |
| Lift padding | ₹0 – ₹1,500 |
| Overtime penalty | ₹500 – ₹2,000 |
One large Bangalore complex publishes a flat ₹1,500 move-in or move-out charge, ₹2,500 to move between flats in the same complex, and ₹500 per person for PG accommodation — payable whether or not you use the lift.
Get the figure in writing before you book your movers. A ₹10,000 deposit found on moving morning is a problem. Known three weeks out, it’s a line in the budget.

The Ones Nobody Warns You About
Scheduled lift maintenance. Book a slot, turn up, and find the service lift out for its quarterly service. Ask the estate office to check the maintenance calendar against your date.
Water shutoff windows. Many complexes cut supply for a few hours on fixed days for tank cleaning. Unpleasant timing if it lands on your moving day.
Basement clearance height. This decides the vehicle size that can reach your block. A 20-foot truck doesn’t fit everywhere, and finding out on the day means a longer carry.
Sunday bans. Several societies don’t allow shifting on Sundays at all, on noise grounds. Check before you fix a date.
Confirm every one of these at both addresses. People check the place they’re leaving and assume the new one will be fine — which is exactly how a move finishes at nine at night instead of three in the afternoon.
How Long to Allow
| Item | Who Arranges It | Lead Time |
|---|---|---|
| No-dues letter | You + association | 2 weeks |
| Service lift booking | You + estate office | 1–2 weeks |
| Approved mover clearance | You + your movers | 1 week |
| Gate pass | You + security | 2–3 days |
| Deposit payment | You | Before the move; refunded after inspection |
What’s Actually in the Bylaws?
Not every charge a society quotes is one it has formally adopted.
Associations in Karnataka work under registered bylaws and resolutions passed at a general body meeting. A charge appearing in neither sits on weaker ground. And some things aren’t permitted regardless — denying lift or water access to recover unpaid dues, or refusing permission on grounds like religion or marital status.
The useful move isn’t to argue on moving day. It’s one question, asked early and politely: could you share the bylaw clause these charges come under?
Most committees produce it without fuss, and you have your answer with weeks to spare. Raising it with the truck at the gate helps nobody.
How We Handle This Side of It
After 15+ years and 1,000+ moves across Bangalore, society coordination is just part of the job:
- Vehicle registration confirmed early, so your gate pass can be filed on time
- Crew ID documentation ready before we arrive
- Our free site survey checks basement clearance, lift size and approach road — so we send a vehicle that fits
- Loading planned around your allotted window, not discovered on the day
The paperwork is yours to submit. Everything we can prepare in advance, we do.
Frequently Asked Questions
Do I need permission from my apartment association to shift?
In most gated complexes in Bangalore, yes. You’ll typically need a gate pass for the vehicle and crew, plus a no-dues letter confirming maintenance is clear. Independent houses usually have no such requirement.
How far in advance should I apply for shifting permission?
Two weeks for the no-dues letter and lift booking, two to three days for the gate pass. If your society uses an approved mover list, add a week.
Can my society stop me from moving if I owe maintenance?
Many will withhold the no-dues letter until it’s settled, which holds up the gate pass. Clear it before your moving date rather than trying to sort it out on the day.
Is the move-in deposit refundable?
Usually, after an inspection for damage to lifts and common areas. Get a written receipt, and photograph the lift and corridors before loading starts.
What if the moving vehicle can’t reach my block?
Goods get carried further, which takes longer and usually costs more. A site survey catches it beforehand — which is why we check basement clearance and approach access rather than assume.
